Part I — General Terms

• Children below 5 years are complimentary in parent's room without extra bed & without Volvo ticket. Milk/food for infants or children above 5 years is chargeable and direct payment is to be made at the Hotel.
• AC will not work in Hill Stations.
• The confirmation is subject to availability.
• Check-in and check-out time as per hotel's policy. Rooms are subject to availability.
• No reservation has been made till date and this is just a quotation.
• Base category rooms will be provided in every package. If selected hotels are unavailable, rooms shall be booked in a similar or higher category hotel where the guest pays the differential amount.
• Meal timings must be followed as per hotel instructions. Skipped meals will not be carried forward. Meal plans can be changed as per guest's preference.
• Please carry a valid identity proof with photograph. PAN card is not a valid identity proof.
• Early check-in and late checkout payments are to be settled directly by the guest at the hotel.
• Check-in/checkout time for most hotels is 2:00 PM / 12:00 PM. Number of meals always corresponds to the number of nights booked.
• Hotels do not provide breakfast on the day of arrival. If required, it can be added by editing the package at extra cost.
• In Himachal Pradesh, hotel facilities cannot be compared to developed destinations. Hotels are categorised on the basis of Location, Services and Costing — not star ratings.
• The above quotation is only an offer, not a confirmation. If original hotels are unavailable, we shall provide equivalent or alternative hotels.
• No refund for any unused accommodation, missed meals, transportation or sightseeing due to bad weather, ill health, strike, road blocks or any factor beyond our control.
• No discount will be provided after confirmation of the package.

Booking Policy

• Token Money: ₹2,000 non-refundable if the trip is cancelled from the customer's end.
• 30% Advance within 7–10 days of booking (after paying token money).
• 40% Balance before 30 days of departure.
• Remaining Amount on the first day of the trip.
• Last-Minute Booking (within 21 days): 60% advance at the time of booking; rest on Day 1.
• If the guest fails to complete the payment schedule, Highland Monk Travels may cancel hotel and taxi bookings.
• GST is included in the cost and will not be refunded in case of cancellation.

Cancellation Policy

• 45+ days before travel: 100% refund.
• 15–30 days before travel: 50% deducted, 50% refunded.
• Less than 15 days / No-Show: 100% deducted.
• Refunds processed within 5–7 working days to the original payment account.
• No changes (room, date, itinerary) accepted within 7 days of travel.
• Written cancellation to be emailed to [email protected] on working days (not Sunday).

Part II — Liability

• We shall not be responsible for delays or alterations due to Natural Hazards, Flight Cancellations, Accidents, Wars, Civil Disturbances, Strikes, Riots or any cause beyond our control.
• We shall not be responsible for loss of Mobile, Gold, Money, Luggage or any Luxury Item during the tour.
• We shall not be responsible for costs arising from landslides, road blocks, bad weather, etc.
• All disputes are subject to Shimla Court Jurisdiction only.

• Name, telephone numbers, postal and e-mail addresses
• Credit/debit card or other payment information
• Information relating to any disability or medical condition affecting travel arrangements
• Dietary restrictions which may disclose religious beliefs (treated as sensitive personal data)

This information may be provided over the telephone, online through our website, or by email. Please do not provide your personal data if you are not comfortable with us processing it under this policy.

Consent and Withdrawal

All personal data is collected with your consent. You may withdraw consent at any time from:

• Processing of your personal details or tour photographs for marketing purposes
• Uploading any content on Highland Monk Travels' website or social media

We can use your personal data to send information about holiday packages or offers only where you have specifically consented. We will not retain your data longer than necessary for the purpose it was collected.

Who We Share Your Data With

Your personal data may be shared with relevant suppliers (ground handlers, airlines, hotels, etc.), banks/credit card companies, and government/public authorities if required by law.
